Here is the minutes from the meeting. 

Eric, don't forget to contact the hotel about recycling bins.

Strategicon Meeting 01-22-12
 
1.       Welcome and Announcements- Eric got a new car, and then started talking junk about mustangs, not sure what he has against horses, but that how we started.
2.       Orccon 2012
a.       Budget- yes, the con made money, but don’t get crazy cause room rates are going up. Also, will be buying more lights.
b.      Special Events and Guests- Thanks for the deluge of Special events, but we might need to get a little more selective about the events we put out in marketing. Dirk Henn is the only guest for Orccon, VIP will take place in the bar. Richard Borg at Gamex, Antoine Bazza and Asmodee at Gateway. Looking into having Monte Cook and a D&D 5th tie in down the line.
c.       Publicity- Flyers are going out, get anything you want mentioned to Eric D this week. Eric A can make color flyers available upon request.
d.      Dept. Reports- If you want dice contact Mickey. We have a swap with KingdomCon, Cool Mini or Not is sponsoring the paint contest.
                                                               i.      Board Games- Neil is training his replacement as head of BGs and making an effort to train new people properly. HQ still needs volunteers. 
                                                             ii.      Art- TL is staying on the rest of the year and already has artists set for the next 2 cons, causing Eric A to declare his love for her. Don’ tell Tanya.
                                                            iii.      Video Games- Has a whole bunch of new games including Diablo 3 and Soul Caliber 5. Requested some computers for routine stuff to free up the good PCs for Diablo 3. Spread the word that you can earn a badge for donating the use of stuff.
                                                           iv.      Wargame Bootcamp- Having a workshop for A Few Acres of Snow on Saturday to review the new rules before the Tournament on Sunday.
                                                             v.      RPGs- Overbooked on Saturday, close to capacity already. Over 100 independent events.
                                                           vi.      Dealer Room- Grant from Columbia Games is coming back, Alderac Entertainment has a table and possibly someone selling kilts. Sexy up those legs, fellas.
e.      Signage- Let Harmon know if you need more stands. Request for more arrows. Discussed the possibility of changing the style and color of arrow signs. Inquire to hotel about putting actual information on marquis. Need more signs for recycling locations. Still need better maps, maybe with ‘You are here’ notes. In a discussion about signage to make sure everyone know where the dealer room is, it was decided to give out raffle tickets with badges and every purchase from the dealer room for a daily dealer dollar drawing. The entry point for the raffle will be in the back of the dealer room at the Strategicon booth.
f.        Website Changes- Discussion about TL’s tweetup contest, and a possible contest where folks who tweet from the con can win things. Will need to put news items about these on the wesite. Also looking for monitors to display tweets and such during the con. Thinking about moving pictures to facebook. News item about raffles on site. Demographics gathering on hold.
g.       Conbook- Sold enough ads to actually pay for the book. 
h.      Parking- Eric N will check to verify parking info with what we have on the site.
i.         Rooms- Prices went up, get your lists to Eric A. Soon.
j.        Layout Space- Space is tight, get request in early. Broadside Bash need to have numbers by 1-31.
k.       Awards- Neoncon needs to submit award info soon or it won’t count. Ok on ribbons for now, get any other requests to Eric A.
l.         Art- 4 possible designs, will ikely choose one, but the other can be had as single runs.
3.       Deadlines
a.       Feb 3rd - Hotel registration. This is not flexible, get the word out.
b.      Jan 27th- Event Submissions must be in, looks like over 600 events. Special facility requests due. Conbook ads due. Also, possible In Memoriam section.
c.       Jan 28th- Pre-reg turned on. 
d.      Jan 30th – Room lists to Eric A and Chris Carlson. Badge lists to Tracy. Conbook proofs.
e.      Feb 13th – Pre-reg and Event pre-reg turned off.
4.       Gamex- The need for an artist and special guests were covered previously.
5.       Q&A- Neil asked about getting Monster again, will inquire. Also, in the unlikely event of another fire alarm, it is the staff’s responsibility to get people to leave.
