There is paperwork for every event at out convention--including Guest panels and events.
All "special guest" events should include the special guest's name AND a staff/volunteer name who is actually running the event (the guest is hosting but we do the paperwork, flags, prep, etc).
Coordinate all special guest events with Eric Burgess and Stephanie to make sure someone is attached to these events. So for example-- The event: Playtesting with Antoine Bauza - 7 Wonders: Armada   would list 
Antione Bauza and Stephanie Kelleher both as GMs. Antione Bauza runs the game and Stephanie does the paerwork. Stepahine is Awesome so there won't be any issues. Just coordinate with her and Eric Burgess and the paperwork pothole will be filled.

Howdy everyone,

    So, I had a small logistical problem.  This came up last con, appears to be happening this con, and is likely to happen again in the future.  The website system for scheduling an event has a field for GM.  This person, as far as Board Games is concerned, is responsible for setting up the event, being the contact person for the event, filling out paperwork for the event, etc.  The problem I have, and I'll admit it is a little one, is when people set up events for our guests of honor and put their name in this field.  I honestly do not expect Antione Bauza to show up to our GM meeting on Friday night, even though he is technically a rookie =)  I know we like plastering our guests of honor onto everything, but from a logistical and organizational stand point, putting Antione down as the GM of an event is problematic.  I was wondering if there was a better way we could promote Antione's presence and schedule, and at the same time keep things
 organized.  Any ideas?
