[Deptheads] Meeting Minutes from 10-18-15

[Strategicon Department Heads]

 Below is the minutes from the meeting on Sunday, October 18th. If you want
in text or word, please let me know.

In attendance: Eric A, Tim K, Victor B, John P, Jason D, Jim S, Shane S,
Mei, Paul T, David H, Mike J



. Lunch – It was early, it was good, it was noodly. All thanks to FSM.

 I. Announcements – Apparently, John has a basement.

 II. This Year

         A. Gateway 2015 – 2100 official attendance, our largest ever (it
seems like I say that every time), even larger than Orccon. Miniatures was
filled constantly and Lower Lobby was utilized in a way to relieve a lot of
pressure.

         B. Overall – Averaged just under 2000 per con (missed by 10 people
total). Need to make sure everyone knows that you need a badge even in Open
Gaming if you are playing a game. Need to make signage to that effect and
make sure it is in the con book.

         C. Goals from last year

                 1. 10 percent increase per con – Across the board. Good
work all.

                 2. Expand Game Library to RPGs – Dave has a box of books
and is will add them to the inventory.

                 3. Utilize Bel Aire and space in general better – Done and
done. And to think, no one wanted Bel Aire.

                 4. Suggestion Boxes – Done, other than the fact the Open
Gamers looted the pencils and sheets, they were successful.

 III. Next Year

         A. Goals – Complete Library inventory, 10% increase in attendance
(weather permitting, see E), utilize the Lower Lobby Foyer (need some
big-ass fans to help with air flow), Lower Lobby Foyer Lighting, better
signage, fix map in con book. Most of these are in process.

         B. Special Guests – Working on it, Honestly.

         C. Marketing – Mei will get us various deadlines, and what she
needs from department heads doesn’t change, so get her newsworthy items to
pimp us properly.

         D. Budgets – We have room, so if you need stuff let Eric know.
Video Games is going to get a projector repaired to use for tournaments. If
you still need the large rolling containers please let us know. We are
looking at standardizing printers, and Jim has a possible lead on that.
Chris Carlson is investigating pop-ups.

         E. El Niño – Spanish for The Nino, the weather pattern has hurt
attendance in the past. Eric will work with the hotel to have extra
parking, but park on the upper levels just in case. Paul will look into the
building behind the Hilton.

         F. Web Site changes – Link to hotel rates should be up by now.
Long term – Nuke the site from orbit, the only way to be sure. Short term-
Make badge list editable, fix Paypal, adding default rooms (HQs in the case
of RPGs), adding Adventures League and Pathfinder searchable subsets of
RPGs, Add Party Games.

         G. WonderCon – Need GMs to run a cross section of events to show
what Strategicon offers. Contact Mei for details.

         H. Business Cards – Eric said new card design before the end of
the month, but that was before all the kings horses and all the kings men
need to put Eric back together again. Please let Eric know if you need
cards.

         I. Party Games – As a subset of RPGs under Jim Sandoval, William
Hilstrom will supervise the Party Games (e.g. Werewolf, 2 Rooms and a Boom,
Cash and Guns)

 IV. The Future and Beyond

         A. At Hilton until 2020 — in theory. Currently under contract, but
we have a possible out at 2018. Better use of space means we can likely
make this work that long.

         B. Moving? – Fact: If we continue to grow we will need to move.
Options are being explored.



 V. Q&A

Tim will contact the Escort guy (not like that, pervs).

Jim is making new Suggestion forms, and we are thinking of adding boxes in
Library and Board Games, and not leaving the one in open gaming out
overnight.

Suggestion to get phone numbers from folks who borrow from the library on
Sunday so that their crappy planning doesn’t become our crisis.
