[Deptheads] Gamex Meeting Minutes, 4-19-17. Better late than never, allegedly

 Ok folks, here are the meeting minutes from the Gamex meeting. If you
would like this in another format, please let me know.

Strategicon Meeting 9 April 2017



In attendance: Mike J, Tim, Chris C, Fred, Brandon, Topher & Danielle

Via Skype: Eric A, Victor, Mei, Jim, William, Jon, Jason, Ryan, Nick, Mike
& Tracy F (partially)



A. Lunch – Actually had Pizza. Thanks Topher!



B. Welcome and Announcements – Eric was complaining about United Airlines,
which proved eerily accurate. Everyone agreed to never fly guests on
United. Tim became a grandfather again.



C. Orccon

1. What went right – Lots! Except for what didn’t. 2330, highest attendance
on record. Parking was very good, lack of crackdown on food was good (which
is a good thing until people start having BBQ delivered to the ballroom).



2. What went wrong – Rain is not a big deal, until wind drives it into
rooms. Auction ran started late (hotel fault) and ran longer. Costs were
higher, necessitating a room crackdown.



D. Gamex

1. Budget – For once, Eric did not say we were ok. Room costs cut into
money.



2. Special Guests and Events – Eliza Teague, Ben Warner. Having Catan and
Agricola qualifiers. Get any local guest requests to Victor for future cons.



                3. Publicity

a. Marketing Email #1 ASAP – Get info to Mei, although she has already sent
out a cranky email about it, and rightfully so, you damned slackers.

                                b. Art – Cover done.

                                c. Shirts – In process.



                4. Department reports –

               *Video Gam*es – Do, in fact, still exist. Asking around for
a Nintendo Switch for Gamex.

Seminars – Looking to add improve groups and stand up comics, will need to
put age ratings in the event descriptions.

*Collectibles *– Need to trim down events, also looking for suggestions for
new events. Request for Brotherwise games to come do events since they are
local.

*Adventurer’s League* – 322 unique players, largest ever. Will have a set
change on Saturday, Tim needs to send floorplan to Mickey and Fred.

*RPGs *– Games on Demand are very popular, but need to cordon off the area.

*Pathfinder* – Starfinder at Gateway. Paizo-con is during Gamex, will
expect lower turnout.

*Party *– No more drinking games under our banner.

*Minis* – Some new stuff, and outside chance of Warlord Games showing at a
con.

*LARPs* – 17 events, escape room was great. Wyrdcon and Ren Faire will
likely cut into Gamex. Will ask GMs about spectator friendly games.

*Board Games *– Adding the Agricola qualifier, and Shane gets mad props
from Mayfair.



 5. Signage – Missing signs are being dealt with, let Mike J know if you
need anything specific. Also working on a better storage method. Need signs
with auction changes for the Reg desk.

6. Website changes – If the new site looks like the old site, you aren’t
looking at the new site. You should have received the link to the dev site,
which is oddly enough dev.strategicon.net <http://www.dev.strategicon.net/>.
We know the banner pics are too big (though they are now smaller than they
were), other feedback is needed.



 7. Auction – All of the following are up for discussion: Double lot slip
cost (happening), stricter lot limits per person (happening in some form),
lot sales limit per day (maybe), swapping auction with feedback seminar
(yes that means having the auction on Sunday night), severe beatings for
selling crap. Again, feedback welcome (which is code for speak up now
instead of complaining later)



                8. Parking – Seemed to go ok. Spot hero is still a thing,
but we need to update website info.



 9. Rooms – Room costs were very high, which means no padding. Victor gets
to go through the room list with a red pen and excessive cackling is bad
for his health.



10. Hotel Food – Hey, did you know there is a double secret buffet for
Saturday and Sunday lunch? If you didn’t, you weren’t alone. We need better
signage from the hotel. It was also revealed that hotel pizza should be a
crime, and Eric never met a taco he didn’t like.



11. Hotel Layout Space – For those of you who use the term ‘extra space’
please don’t, it just sends Tim into giggling fits and none of us want
that. If you have special requests, get to Tim sooner rather than later, we
need a 30 day lead time now that all layouts get sent to the LAFD for
approval.



                12. Logistics – Still working on finishing up the storage
standardization.



13. Business Cards – If you want cards, you need to send what you want
displayed on the card to Eric. If you have already done this, do it again.
Also, give a few of your cards to Victor so he can pimp you to interested
parties. Deadline is 10 am 22 April (that’s this coming Saturday)



E. Deadlines

                Wed, 4-19 Special Facility Requests due (already passed —
you get to beg, or bribe, Tim and curse Mike J. that the minutes were late)

F. Q & A

Working on getting better Internet so podcasts and such might be able to
stream audio. Streaming video is laughable, and we all needed a good laugh.
