Strategicon Meeting Minutes 14 Jan 2018



In Attendance: Mike James, Chris Carlson, Jim Sandoval, Melissa and Brandon

A. Lunch – This is increasingly a you thing. You do You.

B. Welcome and Announcements – Darlene, who runs the con table in the
dealer room and likely has harassed you about a shirt, is recovering from a
lower leg amputation, and won’t be at Orccon. She will be back at Gamex
better, stronger, and faster. Stop by the con booth to sign her card.



C. Orccon

               1. Budget – Be reasonable, ask first, etc.

               2. Special Guests and Events – Jeff Siadek, John Compton,
Sabre Legion, Secret Sith, Adventurer’s league Epic

               3. Publicity

                              a. Marketing Email #1 — done! There is a #2
coming, help Mei by getting her stuff.

                              b. Art – Book done, con shirt coming.

                              c. Shirts – Evergreen done, and apparently
Unicorns are cool.

               4. Department reports

                              a. RPGs – Palladium now provides product
support and we have a dedicated room to just their events. Games on Demand
still growing, and L5R organized play starting Orccon.

                              b. Collectibles – Trying to get Doomtown  and
a Magic podcast for Gamex.

                              c. Minis - Large ITC tournament, Large Team
Yankee tournament all targeting new attendees.

                              d. Pathfinder – John Compton panel discussion
with other writers for PFS.

                              e. Adventurer’s League – Big Epic game and 2nd
year of con created content. Need fans.

                              f. Board Games – Catan Qualifier, and some
vaguely threatening remarks about pool noodles. I would avoid International.

                              g. Video Games – Will be adding fighting game
tournaments

                              h. Registration – Will be shorthanded. If you
have any spare folks, Tracy could use the help. Let’s face it, you probably
owe her for your terrible habits regarding your badges.

               5. Signage -If you need signs for anything, let Mike James
know.

               6. Website notes and updates – Title search didn’t work, but
Tanya fixed it during the meeting (in your FACE, squarespace). If you find
anything not working properly, please let Tanya know. If you have any
pictures that would look good on the banner, break them out. Shane asked
about an admin search ability across multiple cons.

               7. Annual Awards – Still a thing, using the new system. Need
3rd place ribbons.

               8. Parking – Chris Carlson volunteered very quietly to check
on the surrounding lots for updates.

               9. Rooms – There are none. Or will be none. It’s a real
Schrodinger’s room thing. Badge wall seemed to work, will likely be dropped
but it won’t matter.

               10. Hotel Stuff – Food policy relaxed, but still no ice
chests. Hotel will be running buffets again, hopefully with better
advertising.

               11. Hotel Layout Space – It’s Orccon, space is tight. If you
need anything out of the ordinary, contact Mike James. He will be
contacting you.

               12. Logistics – Buying more box fans, Will not be adding
much in the way of boxes (due to transportation issues) but will be sizing
the wheels up starting with the 55 gallon boxes.

               13. Business Cards – If you need cards, email Eric directly.
Bring some to give to victor so he can give them out at GAMA.

D. Deadlines

               Mon, 1-15 Room lists to Victor B. and Eric A. – Yes,
Yesterday. Take the hint.

               Wed, 1-17 Special Facility Requests due – To Mike J ASAP.

               Fri, 1-26 Event Submissions, Con Book Ads

               Sat, 1-27 Event Pre-reg turned on

               Mon, 1-29 Conbook proofs start, Badge list to Tracy

               Fri, 2-2* Hotel Reg – Probably won’t matter

               Mon, 2-12 Con Pre-Reg turned off

                 Event Pre-Reg turned off

E. 2018 Planning

               1. Special Guest(s) – Yes, names were dropped.

               2. Marketing – Up and running, doing well based on the large
number of new people.

               3. Other Cons – Can suck it.

F. Q & A

Log in issues – Some people have had log in problems with Chrome. Tanya
lives to fix problems like this, so let her know.

If you need things at Con, do NOT call Eric. Seriously, just don’t. Chris
Carlson is primary problem solver, followed by Mike J, then down the line.
