[Deptheads] Sign-in Sheets Event Data

Hi guys,
LARPs has basically the same workflow Shane just described—we use a spreadsheet and then a mailmerge that moves the information into a template in Word. Everything was made for us by Ryan, so altering it is painstaking and slow. We add the information for the fields not currently provided by the site that I hope the site may someday proc for all LARP submissions (genre, combat, costume, time period).
Best,
Tara

Hi everyone! :)
I cut and past the data from the Sign In Sheet Event Page into an Excel Spreadsheet. I then edit the database slightly, and copy and past it into several different sheets and edit again. Then I use Microsoft Word to create mail merge documents using the different sheets withing the file to populate the information into my paperwork. If you would like examples, I can send them.

At least you have 5 months to make the changes.
Different priorities when the page was created. The field names are changing across the whole site, and I’m trying to be consistent.
I didn’t realize how significant the order or labeling was, and you were the first to comment about it.
You may have to adapt some more when we add your requested fields, because the pre-reg list is always going to be last. At that point, the checkbox will become the ability to turn on or off those extra fields.
By the way, what does each department use (as in software to do the merge) to generate their sheets? If all goes as planned, I’ll need to generate my own sheets starting Orccon.

Alright, I guess I’ll also spend a bit changing my templates around. Was there some reason the columns got mixed up in the first place? And why can’t we keep the checkbox?

I’d prefer to use the order you just spent 3 days adapting to.
I’ve added a checkbox for this con to give those who still haven’t printed the ability to use the old format. It won’t be there for Orccon.

So, which order will we be using in the future? I just spent 3 days fixing all my spreadsheets to fit the new data order.

Ok, good point. Hold the presses. I will change the order back.
The new order reads more like all the other pages, which in the long term probably better. Anyone have an issue switching to the new order for Orccon, let me know.

Hi Tanya,
For some reason, the event data we use for the sign-up sheets now has the columns mixed up such that it breaks our workflow for creating and printing sign-up sheets. Now, we managed to fix it manually, but I wanted to let you know that the columns had been moved around and that this may result in some headaches for other departments as they go to make and then print their sheets. I have included what it looks like in an intermediate state once I pull down the data, before fixing it and before performing our mailmerge. You’ll see at the top of the column what that column was originally and what it has been changed to. We did ours tonight because we have among the fewest events, and headaches are the easiest for us to fix, so we make a good guinea pig; I thought that would give you a nice early heads up if one was needed.
Other departments: If you use a template, just be sure to check what ended up where this time around, and note you may have to move columns around before making your sheets.
Best,
Tara

"I think not," replied Descartes, and promptly vanished.
