[Deptheads] OrcCon 2014

There is no department for parties or charity events---we just take volunteers to do it an approve the event (cost, space, etc). Kryssie has been great at stepping up to run balls and charity events.
A party at the convention is an event. There is no "party" department. Norm does the Vip dinners and meet & greets which will re-start in 2014. He already has a vip event planned for Friday night and guests have confirmed attending (he also does guests now starting 2014). We can work around it or tie it in or make it part of one big party--this has to be coordinated and discussed. Any convention party or function has to be approved by the board unless the people running the party pay for it all themselves and get the space they need from Tim Keenan the event coordinator. Anyone can run a party at the convention as long as it is approved as an event. No different than running Artemis and when we had the dance with dj and music. It is simply an event and the space and time have to be approved by the event coordinator since Parties do not have their own designated room every con. They have to ask for available time slots and space. If money is
needed from the convention to fund the party the budget for it has to be approved. If there is food served it has to be approved since the hotel has to approve of it. Too many things need to be approved and confirmed for it to happen instantly so waiting a week is not going to make or break any valentine's day events for orccon 2014--simply tell people we will have valentine's day events planned for it for couples and singles (I love the ice cream social idea). That way we let people know we will have stuff for everyone on that night (couples and singles) without having to give the exact details of the event until we hammer out the details and specifics and coordinate with all depts. and staff so we can have great attendance at them (can't have special events that need the photog at them scheduled at the same time as the valentines events). I do not care who is in charge of the events once they are planned. Kryssie can volunteer for the job if she
likes and she has experience in it. I have total confidence in her. It won't be any of us on the board running it and it should not be the photographer either (he can be part of it but not running it since it would make him unable to go take pics where needed---the photog job is full time). We should plan something as special as couples event and also singles valentine's day events together as a team and hear from everyone who has ideas and opinions......but if there are people who do not want to wait and coordinate with everyone here until after Gateway runs in 7 days then we will have several Valentine day events submitted and planned for Orccon 2014.
With the people we have here I have no doubt we will have great ideas and have an awesome valentines day full of events that people will be talking about all year. And yes there will be cake and balloons. And ice cream too (I loved that idea).

I would rather open this discussion last month. Know why? Because this falls on my department. :) So! As I stated, Troy and I will talk AT GATEWAY and have things ironed out. I'm not interested in why things didn't work before; I'm interested in how we're going to make them work now. If you don't want to be a part of this discussion, don't respond. If you want to be a part of a successful event , by all means, HELP us plan! :D
Peace out from Ft. Edmonton!

Agreed Victor. I have some ideas on this as well, but it's probably a good idea to shelve this until after Gateway.

>>Cool ideas.......but let's not forget that our convention starts in 7 days so I do not want to get into a detailed discussion of Valentine's day events that have already been proposed and events that are already planned (and adding new ideas like photo booth etc.that sound great). Too close to Gateway to switch our focus. We will do something. We will accomidate the couples that are at the con. A gamer-friendly event because we are a gaming convention. Non-gamer spouses who do not attend the con do not want to come out to eat, dance, and hang with gamers on a romantic night. They want to get dressed up and go to a romantic dinner for 2 or something that is not tied gaming. They want their spouse to themselves not sharing their special night with Darth Vader, Napoleon, Pikachu, Werewolves, and the settlers of Catan. It has not worked trying to get non-gaming spouses out on valentine's day. You can put lipstick on a pig and tie a ribbon around
it's tail but it is still a pig--they are still coming to a gaming con and they are sharing your attention with gaming and gamers. So we will have an event for couples who attend our con. We will also have an event for singles. Why? Because gaming is a community with lots of single people. Several people are depressed on valentines day and feel left out. We won't rub salt into their wounds at Orccon. We will have an event for single people too. Not an anti-valentine's event but a gamer friendly fun social event for people who are at the con solo (Some will have significant others not at con and others will be single).

>>Back to Gateway.... we will re-open this discussion on sept. 3rd after Gateway has ended. Ideas , suggestions, space available, music, decorations, cost to do and cost to attend, volunteering to help set up, etc. will be discussed then as will the things already planned. So hold those cool ideas and suggestions one more week and then we will jump in and plan some fun events. And yes there will be cake and balloons.
