Many items and questions can and should be discussed here on our deptheads list. No one needs to wait until a meeting to bring things up unless it is of a sensitive nature or needs approval from the board. 
The quartermaster has approval to choose a reasonable facility convenient to themselves. And as long as equiptment is dropped off by early friday morning and out of the hotel by monday night they are free to decide how and when it is done.
The Quartermaster is free to implement any system they so choose for organization. They do things their way. They can get 1 or 2 volunteers to assist. Anything the quartermaster wants everyone to know they can say here on the list so everyone 
gets their message (like- make sure your area is tore down on monday before you leave and items to be stored are in the pickup area. Make sure quartermaster knows of new items/boxes being added to inventory and which dept. they belong to).
Thank goodness for the quartermaster...that is one job Eric A, Eric N, and myself are glad to not have fully on our plates anymore.
 
The January 13 meeting is small on purpose and needs to remain 14 or less. Senior staff , Mike James and the following people or their rep (Shane, Jason, Robyn, Eric B, Eric D). Eric Nyquist is part of the foundation of this con and has the option to attend. This is a "Senior Staff meeting". Our usual "All-Hands-On-Deck" meetings are for everyone on this list. 'All-Hands-On-Deck" meetings are the opportunity for anyone on this list to show up and discuss the good, bad, ugly, and what's new or changing in their department or area they volunteer in. Our first meeting after each con is usually "All-hands-on-deck".

Are we planning to have our Quartermaster there? 

Orccon is supposedly when our equipment is transferred to new storage facilities... I bring this up, as my (and therefore at this point, OUR) storage costs will be going up.

Convention Board Members= Eric A, John Paiva, Tim Keenon, Victor Bugg, Chris Carlson. Also included are non-voting members Mike James (secretary and witty comments), and Paul Thomsen (legal advisor).
 
Senior staff= Eric A., John Paiva, Tim Keenon, Victor Bugg, Chris Carlson, Tracy Fryer, Kryssie Mackey
 
With all the above attending (minus paul) we cover several depts already..... this leaves the following Department Heads to attend or send one rep:
--Board games (includes war games bootcamp, card games, gameshows, kids games, etc)... Shane attends or sends someone
--Computer & video games...Jason attends or sends someone
--Role playing games (includes, rpg, rpga, Larps, pathfinder)...Robyn attends or sends someone
--Library & Guests...Eric B. attends or sends someone
--Marketing...Since Kryssie is attending as Senior staff Eric D. has the option to attend as marketing head or let Kryssie wear that hat.

One person from each department (department heads or their representative) and senior staff should attend.  We have a lot to get done and need to keep this one small.
