As to deadlines, yes, things need to get going soon. There will be marketing info we'll need soon.

Strategicon 2015 Planning Meeting 19 October 2014

In attendance: Mickey Tan, Eric Nyquist, Dave Holt, Chris Carlson, Mike James, Robyn Nixon, Polly, Jason DuVall, Tim Keenon, Jim and Lori Sandoval, John Paiva, Mei Dean Francis, Eric Burgess, Rusty, Eric Aldrich (via Skype), Victor Bugg (via Skype).

. Lunch - Kind of had to be there for that one.

I. Announcements
A. Marketing - Mei Dean Francis taking over marketing. More on that later.

B. Library - Dave Holt taking over library, and the library is in our storage now.

C. Family Track - Rachel Tolliver will be handling the Family Track. This will be a combination of a Family room and list of events labelled as such in the event Maturity field run in the assorted locations. This will allow us to provide a solid block of family events during certain hours. Family Friendly is NOT a babysitting service, that will remain in video games (ok, not really on the video games bit).

D. Card Games - John Paiva will run what was once known as 'Traditional Card games.' This is being kept separate primarily due to legal reasons. By now this has spoken about on the department heads list with the appropriate amount of snark. Well done all.

II. This Year
A. Gateway 2014 - Official attendance 1810. Most successful Gateway financially and attendance-wise.

B. Overall - Another year of solid growth, helped out greatly by better contracts and steadily rising attendance.

III. Next Year
A. Special Guests - Looking to get guests without a lot of expense. Suggestions and approvals through Victor.

B. Marketing - As mentioned above, Mei will be handling the marketing duties. She will be sending out a questionairre to gather info for what she needs to target. Any info you can provide would be helpful (contacts, relevant communities, etc), and she can be reached atmeideanfrancis at gmail.com. She will be looking to add some media without turning it into PAX.

C. Budgets - Formalizing budgets now (stop laughing). Department heads, please send a list of needs to Eric A and Tim for consideration.

D. Goals - looking for a 10% increase in attendance by con (1820, 1670, 1810 respectively). Looking to expand the games library to RPGs and more. Looking to use the restaurant room for noise level appropriate events (primarily LARPs), Feedback forum is now an input forum and we will be adding 4 suggestion boxes.

IV. The Future and Beyond
A. At Hilton until 2017 - We are gaining 2 of the outside atriums, so if you have something that would work outside, let Tim know. If we use them, the 3rd floor will end up being staff rooms so other guests don't have to deal with noise. Lounge will have a block of hot food and details will be on the list email before con.

B. Moving after that? - Contracts up in 2017. We need to look now at possible options for moving, we will need to decide by the post-gateway meeting next year. Right now the plan is *not* to move, but we must do our due diligence.

V. Q&A - Can we add a 'clear all' field for event registering?

Next meeting likely January 11th.
