[Deptheads] Minutes from Orccon Meeting 01-15-17

[Strategicon Department Heads]

Folks,

Below are the minutes from the meeting yesterday. Notable high points are
that any changes in your hotel room list are due to Victor and Eric TODAY
(Monday, 01-16-17), special room requests to Tim by Wednesday the 18th, and
anything you want in the mailer to Mei as soon as you can.

If you want the minutes in another format, please let me know. On with the

A. Lunch- Further evidence that Eric just copy and pastes the agendas.

B. Welcome and Announcements – Mei is getting married soon. There is
allegedly someone taking over collectibles. We lost yet another art
director/drummer. There will be no Apple jokes.

                1. Illness during downtime scuttled a few plans

                2. Updated Web Site – Will send link to dev site soon. Hope
to launch between Orccon and Gamex.



C. Orccon

                1. Budget – Budget is very tight. Hotel costs have gone up
considerably.

                2. Special Guests and Events – Guests are on website
already, please get any special event info Mei, Eric, and Tanya for the
website and mailers. Things like the Catan Qualifier and the Starship
Valkyrie Escape Room.

                3. Publicity

                                a. Marketing Email #1 ASAP – If you don’t
give Mei anything she will make things up.

                                b. Art – Done. We do need a new art
director, the last few having died in a gardening accident, choked on
someone else’s vomit, spontaneously combusted and exploded, in that order.
If you happen to know any, drop Mei a line.

                                c. Shirts – One shirt, plus a yearly con
shirt.

                                d. Flyers – Maybe for Gamex.

                4. Department reports

                                Board Games – Monday Mega is Splendor, and
Power Grid World Tour returns.

                                Minis – Return of 40K tournaments,
Malifaux, and this is the HMGS winter meeting.

                                Video Games – Jason is bringing a Raspberry
Pi Retro gaming machine.

                                RPG – Chaosium and Palladium sponsored
games.

                                LARPs – Adding signage to help with players
finding game rooms.

                                Pathfinder – Paizo sending stuff for
Starfinder after the big release, hopefully Gateway.

                                Library – Possibly adding a whiteboard for
recruiting help.

                                Open – Needs diagram for layout.

                                Registration – Trying out a Q&A desk.

5. Signage – LARPs and Party Games signs, need updated sign map. Get any
requests to Mike J.

                6. Website changes – One more con of this one won’t kill
you, wussy.

                7. Annual Awards et al – Shane and Tanya need to get
together and hash out the categories.

                8. Parking – People need to be reminded about validation
and $9 a day. Mei will update info.

                9. Rooms – Victor needs any changes to your list from last
time ASAP!

                10. Hotel Food – Sales down and anecdotal data indicates
the attendees ate off site instead of buying hotel food. Gamers gaming the
system, who would have thought.

                11. Hotel Layout Space – Get any requests to Tim ASAP. The
sooner you do, the better chance you have of getting it. Bribes are also
encouraged.

                12. Family Track – Needs volunteers, if you know of anyone,
send them to Melissa in Collectibles.

                13. Logistics – Most of you have returned my emails, and I
thank you for that. A picture will go out of the proof of concept.
Containers are 12, 17, and 27 gallon in size. Home Depot has them in stock
if you want to see them, I will also have measurements available.

                14. Business Cards – We will probably have these printed up
by con, so Eric needs name, phone number, email, and title you want.



D. Deadlines

                Mon, 1-16 Room lists to Victor B. and Eric A. Yes Monday
the 16th. Changes from last time only.

                Wed, 1-18 Special Facility Requests due

                Fri, 1-27 Event Submissions

                          Con Book Ads

                Sat, 1-28 Event Pre-reg turned on

                Mon, 1-30 Conbook proofs start, allegedly.

                          Badge list to Tracy, on site. Do not put the
department heads in.

                Mon, 2-13 Con Pre-Reg turned off

E. 2017 Planning

                1. Special Guest(s) – Get any requests to Victor.

                2. Marketing – Suggestions for future pins to Mei.

                3. Other Cons – If you want to work the booth, let Victor
know.
