[Deptheads] Minuted from the Gasteway planning meeting

Ok folks, here is the minutes from Sunday. For those of you expecting funny
or entertaining, let me apologize now. The very important point to take
from the meeting is if you had anything you had discussed with Tim about
your space, you need to get it to me ASAP and copy Chris Carlson on it. If
I don't hear from you, it won't happen.Assume I am in the dark on this.

Strategicon Meeting Minutes 23 July 2017


In Attendance: Chris Carlson, Mike James, Chris and Danielle Suarez, Jim
and Lori Sandoval, Brandon Weiss.

Via Skype: Eric Aldrich, Victor Bugg, Tracy and Mike Fryer, Shane Sauby,
Jon Merriex, Mei Dean Francis, William Hillstrom, David Holt


A. Lunch


B. Welcome and Announcements

               1. Tim Keennon passed away of a heart attack on 7-16. A
toast was had in his honor, with more to come.


C. Gamex

               1. What went right - Door attendance made up for the
slightly low pre-regs. 2070, a new high.

               2. What went wrong - Missing Library box. Parking SNAFU on
Friday and Saturday. New parking contractor.


D. Gateway

               1. Filling Tim’s shoes - Pre-con stuff will be Mike James,
at con stuff will be Chris Carlson with Eric as plan C for both. Working on
Saber Legion details. If you were working on something with Tim, you need
to contact Mike and Chris ASAP.

               2. Budget - Some room, not much. Keep it tight.

               3. Special Guests and Events - Need to get up on website.
Send info to Tanya. Fantasy Football, Saber Legion.

               4. Publicity

                              a. Marketing Email #1 ASAP - Already sent.
Second one soon, send pertinent info to Mei.

                              b. Art - Almost done.

                              c. Shirts - Almost done 2: Electric Boogaloo.

               5. Department reports

                              RPG - Adding Games on Demand for kids.
Pinnacle, Palladium, and Chaosium sponsored events. LARP 101s decently
attended.

                              Pathfinder - Starfinder launch and California
premiere for PFS.

                              Board Games - No qualifiers, reshuffle of
space, training noobs.

                              Library - Missing box, could use more
volunteers.

                              Party Games - Saber Legion, and always
looking for something new.

                              Open - Gamex Layout good, will use again.

                              Dealers - Full, but space can be had.

               6. Signage - If you need anything, let Mike know.

               7. Website changes - New one coming, hope to have by Orccon.

               8. Parking - Need to get with hotel early.

               9. Rooms - Same restrictions, get changes to Eric and Victor
ASAP.

               10. Hotel Layout Space - Once more with feeling, if you were
working on something with Tim, you need to contact Mike and Chris ASAP.

               11. Logistics - Work in progress.

               Wed, 7-26 Special Facility Requests due - To Mike and Chris.
