[Deptheads] Feedback on Events Form

Hi everyone! This email is mostly for Tanya, but as events are approved over the next week, you might notice some of the same stuff and agree/disagree.

I’ve done most of my LARP event approving and badge-making for Gateway and hence spent a lot of time on the Event form today, and now have some feedback about how it currently affects my workflow.

1.) Rooms: Love that I can select Bel Air and Carmel, but I would very much like for the Malibu Gardens at least to be included in the drop-down (and the other gardens/courtyards would be excellent additions too). The primary reason is that some folks might like to suggest the outdoor space, and players might like to *know* that they are signing up for an outdoor event, for planning and safety reasons. Particularly, since I have boffers signing up, I’d like them to be able to request the space if it’s appropriate to their game. The 310- rooms can stay off the list, but I will continue to offer them to other departments as overflow for small games, especially RPGs.
2.) The Roleplaying/LARP split: I think I specifically pushed back on RPGs being listed as “Roleplaying,” and Jim and I agreed that the split should be “Tabletop RPG” and “LARP.” There’s a certain weird and absurd indignity to cross-listing LARPs with Roleplaying, and I worry that games that should be with us might end up over in Roleplaying because newer GMs don’t realize Jim’s is the Tabletop RPG department.
3.) Scheduling: I miss the little bubbles next to GMs’ ranked time preferences, where I could just select the one I was going with. It saved time. 
4.) Things I would like: I’d love a space for the names and emails of co-GMs, so I don’t have to chase after folks and they know they need to submit them. I would, in fact, love for there to be a special form for all LARP submissions where I can ask a number of additional questions (costumes, time period, genre, NPC needs, set-up needs, AV equipment needs, specifics about space needs, stuff about release forms, combat information… the list goes on), so let me know if we can get that off the ground some day. 
5.) Even more stuff I would like: I’d love for the GMs to be able to see their pre-regs and send them messages before con, so they can engage their players and start pre-casting their games. This is standard practice at other conventions and rather necessary for certain LARPs, and not having it makes our department seem sorta unwoke. Also I’m tired of GMs asking me about their pre-reg numbers. I’m not asking for the system to give people the emails of others—just a message system of some kind. 

I generally like the cross-listing and hosting thing; that’s looking good. The conbook entry form is also way better and I like the hard limitations it imposes. The form is generally less frustrating this iteration as a result. Thanks!
