This would apply to scheduling events as well, before we contact a group regarding scheduling them for the cons, we should and need to contact our department heads first to make sure that there are not some negotiation's already in progress. We have had some problems regarding this issue, and it resulted in mass confusion.

Okay everyone,
I've said this before, but I'm just going to say it again, while everyone is up on this.
Several of us are willing and able to contact various individuals for the conventions. This is great. We all have contacts and leads in to different people who would be good the conventions.
However you should get Eric's approval before contacting anyone to be "Guest of Honor" or "Special Guest" at any convention.
Once you have that, please included Eric Aldrich, Mark Hyman, Robert Lyonheart, and myself and ANY communication with these individuals, so that "Negotiation" of their appearance and attendance can be worked out (How many days, how many individuals, travel and hotel arrangements, special "holiday" days, etc.) (Either as a CC or a BCC) We don't necessarily have to be the ones saying anything, but we do need to be involved in the negotiation financial and logistical issues.
