I'll address Tim's question in-line because replying to both emails is redundant.
We tend to close around 2pm on Monday.  This is adjustable based on the traffic coming to the desk around that time.
As for paying out at the next con, it's not something we've done.  It's possible, but I strongly suggest that this not be implemented.  Otherwise we'd have all sorts of people coming up and saying that they didn't get a payout from last con.  Once we close our books, they're done and that hard and fast rule makes it difficult for someone to say "But you paid out <this person> from last con...."
I'd be more amenable to having the dept head come and collect the payout to give to the winners, as this evens out the accounting factor.
